TERMS OF BOOKING

These Terms of Booking apply to all consultations, bookings, purchases, collections, gift purchases, and services booked with The Bedford Birth & Wellbeing Co, operated by Hazel Moir (sole trader), Oakley, Bedfordshire, United Kingdom.
By booking or purchasing services, you agree to these terms.
1. Our Services
We provide private postnatal support services, including in-home support, consultations, structured collections, gifting options, and associated wellbeing services.
Services are supportive and educational in nature and are subject to our Scope of Service Statement.
All services are designed to compliment, not replace, your standard NHS maternity, midwifery, health visiting or GP care pathways.
You should continue to attend all routine appointments and seek urgent medical advice through the appropriate NHS services where needed.
2. Booking Requests
Bookings are subject to availability and are not confirmed until accepted by us in writing and payment has been received where required.
Because postnatal support is linked to birth timing, flexibility may be required around due dates, labour onset, discharge dates, neonatal admission, or maternal recovery needs.
Your postnatal care is designed to begin when you are home and ready to receive it.
For hospital births, care will commence from the day you return home.
For planned and unplanned homebirth, support will usually begin within 48 hours of birth, subject to your wishes and agreed scheduling.
We kindly ask that you or your partner let Hazel know within 48 hours of baby’s arrival, so any reserved plans can be gently finalised and your personalised support schedule confirmed.
3. Payment
Full payment at the time of booking is preferred and secures your reserved support dates immediately.
For selected collections, a deposit option may be available. Where a deposit is accepted, the remaining balance is typically due within 14 days of the initial booking payment, unless otherwise agreed in writing.
For bespoke or extended support packages booked during pregnancy, final balances may be payable up to 34 weeks gestation, subject to the agreed payment schedule.
All instalments must be paid on time and in accordance with the agreed terms to maintain your reserved booking.
Accepted methods include secure online payment via Stripe through our website, or bank transfer upon request.
4. Pricing
Prices are listed in pounds sterling (GBP).
Travel outside Bedfordshire or extended travel areas may incur additional mileage or travel fees, which will always be discussed in advance.
5. Cooling-Off Rights (Distance Sales)
Where you book online, by phone, or remotely, you may have a statutory 14 day cooling off period under UK consumer law.
However, if you request your support, reserved dates, planning, meal preparation, consultations, or associated services to begin within that 14 day period, you expressly agree for us to start work immediately.
Where this applies, your right to cancel may be reduced or lost once services have begun, dates have been reserved, or reasonable preparatory work has been carried out.
For postnatal bookings commencing within 14 days of purchase, this will usually apply due to the time sensitive nature of reserving care and arranging personalised services.
Any refund, where applicable, may be reduced proportionately to reflect work completed, dates reserved, or costs reasonably incurred.
6. Cancellations by Client
Single Visits / Consultations
More than 48 hour’s notice: we will usually offer one rearrangement or refund minus any non-recoverable fees already incurred.
Less than 48 hour’s notice: fees are normally non-refundable, though we may offer discretion in genuine exceptional circumstances.
Collections / Packages
Collections reserve limited diary capacity, planning time, and in some cases external associate availability.
For this reason, collection payments are generally non-refundable once confirmed, except where required by law.
Where sufficient notice is given, we may offer rearrangement of sessions where reasonably possible.
For associate-led sessions included within a collection:
48+ hour’s notice: we will aim to rearrange
Less than 48 hour’s notice: the session may be forfeited and no refund due, unless we choose otherwise at our discretion
Compassionate Circumstances
Where serious maternal illness, baby illness, bereavement, or other significant circumstances arise, we will always consider matters compassionately and reasonably.
7. Cancellations by Us
In the rare event we need to cancel due to illness, emergency, safety concerns, or circumstances beyond our control, we will aim to rearrange promptly.
Where rearrangement is not possible, an appropriate refund for undelivered services will be offered.
Where suitable and agreed, an appropriately qualified replacement practitioner may be offered.
8. Home Environment & Access
Clients are responsible for providing a safe, respectful environment for in-home visits.
We reserve the right to end or decline visits where there are safety concerns, abusive behaviour, unlawful activity, smoking in enclosed spaces during visits, dangerous animals not secured, or other unreasonable conditions.
9. WhatsApp / Messaging Support
Where included, messaging support is intended for non-urgent guidance only during normal business hours unless otherwise stated.
It is not an emergency service and response times cannot be guaranteed.
For urgent concerns, please contact your GP, maternity unit, NHS 111, or emergency services.
10. Gift Purchases
Gift purchases may be redeemed against eligible services, subject to availability and expiry terms where stated.
Gift amounts are non-refundable except where required by law.
Valid for 6 months from the date of purchase, unless otherwise stated in writing.
11. Liability
Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, or any right you have under consumer law.
Many elements of our care may be delivered by carefully selected independent associates or specialist practitioners engaged on a self-employed or subcontracted basis.
All associates are expected to hold appropriate qualifications, registrations (where applicable), and their own professional or public liability insurance relevant to the services they provide.
Where services are delivered directly by an independent associate, that practitioner remains professionally responsible for the care, treatment, advice, or service they personally provide.
The Bedford Birth & Wellbeing Co is responsible for arranging and coordinating services with reasonable care, but is not liable for acts, omissions, negligence, or professional advice provided independently by third-party associates, except where liability arises from our own negligence or breach of contract.
Subject to the above, our total liability relating to services arranged by us shall be limited to the amount paid for the relevant booking.
We are not liable for indirect or consequential loss where permitted by law.
12. Safeguarding
All associates and practitioners engaged within our services are responsible for maintaining any DBS checks appropriate to the nature of their role and work.
For your reassurance, we take safeguarding seriously and seek confirmation that relevant associates have appropriate, current, and verified DBS clearance where required before working with our families.
We carefully select all professionals with safety, professionalism, and suitability in mind.
13. Governing Law
These terms are governed by the laws of England and Wales.
